Everyone looks forward to spending time in the mountains with friends and family, and these days “time” is one of the most valuable commodities we have. Don’t spend your time dealing with maintenance issues during your visits. Allow us to personally get your mountain property totally dialed-in and keep it that way. No more surprises, no more trying to schedule contractors and service providers over the weekend and having to be there to meet them, no more changing your plans to deal with issues that were unforeseen and could have been dealt with before you arrived. You can relax knowing that someone you can trust is making regular site visits to your home, dealing with issues as they occur, and keeping you in the loop the entire time.

CONSISTENT SITE VISITS:
As part of the Property Services package, we make regular site visits to your property. You select the frequency which site visits are made (typically weekly, bi-weekly, or monthly), and those visits can be adjusted around your schedule for no additional fee. You only pay for the site visits that you need. This service is designed to accommodate you and your schedule.

CUSTOMIZED CHECKLISTS FOR YOUR PROPERTY:
We have carefully developed a baseline of standard checklist items for site visits, and also encourage Owners to add their own custom checklist items as well. This ensures that during each site visit, the items that concern you most, and which may be unique to your property, are dealt with. Using the customized checklist developed for your particular property, each site visit will be checked off, signed, and emailed to you with photographic documentation. By using a written checklist format, nothing is ever forgotten. We use the latest software which formats an easy to read, color coded site visit report with photographs. This report is emailed to you as a PDF within 48 hours of the site visit being completed.

WORRY FREE REPAIRS and MAINTENANCE:
In addition to making regular site visits to your home, we are also available to manage repairs and yearly maintenance of your home.

Our policy for dealing with service providers and contractors is that we only charge for our time involved, unless we are completing the required work personally and/or acting as the General Contractor (we are a licensed NC Residential Contractor through our sister company, Yellow Mountain Builders, LLC). Our charge is only for the time spent coordinating the service or meeting with providers at your home. Invoices from service providers are then emailed to you for direct payment to that specific provider — we do not accept kickbacks and we do not charge a percentage based on the work that is completed by sub-contractors that are paid directly by you, the Owner. If you have preferred vendors or contractors, we are always happy to work with them. If you need a recommendation for a provider of any kind, we will gladly guide you to those who we have experienced top quality work provided for other clients over the years.

Other than emergency services and standard, repetitive maintenance items, all work performed on properties that we manage will be pre-approved by the Owner. Typically, we will notify you of maintenance items or repairs needed that we have identified during the course of our site visits and will then handle getting estimates to you. The Owner is then required to approve the work to be done prior to any work commencing. If there is an emergency, every attempt will be made to contact the owner prior to emergency action being taken.

Annual Maintenance – With the Owner’s help, we determine what annual maintenance plans are already in place. Many people have contracts in place for pest control, landscaping, HVAC servicing (filters), generator maintenance, cleaning, etc. Once these are known, we can determine with the Owner if there are any additional items that need to be addressed. These may include roof/gutter cleanings, window cleaning (including skylights), chimney cleaning, pressure washing, winterizing and de-winterizing, etc. These services are then scheduled on the annual calendar for the property as a to-do item, or simply to be checked and performed on an “as needed” basis.

SIMPLE FLEXIBLE SERVICE AGREEMENT:

Invoicing: All scheduled site visits are billed on a monthly basis. NOTE: Items other than scheduled site visits including: all emergency services, fee based services, repairs, and maintenance will be billed monthly as they occur. Invoices from other contractors and subcontractors will be forwarded to the Property Owner / Agent for direct payment upon receipt. For very large estate properties, additional fees may apply if a standard site check cannot be completed in less than 45 minutes. This will be determined during the initial property review.

Cancellation or Changes: Site visit schedules may be altered, amended, suspended, or terminated by the property owner at any time by communicating this desire to Ridgeline Property Services. A confirmation email will be sent to the Property Owner / Agent to confirm the request and avoid misunderstandings. If an agreement is terminated, any unspent balance to the customer's account will be completely reimbursed to the Property Owner / Agent.

Reports, Emergency Calls, and Other Services: A report will be emailed within 48 hours after each site visit. Emergency situations will result in immediate direct calls or emails to the Property Owner / Agent and local authorities as needed. "Storm Checks" will also be performed on all properties following severe tropical or winter weather systems and an email will be sent to the Owner to report on the state of the property, including power outages, downed trees etc.

We will conduct a free on-site property review and walk-through. We will then have you fill out an Owner Information Form that lists your contact information, preferred vendors and contractors, lists information about your home's systems, thermostat settings, etc. This provides us invaluable information to care for your home and to immediately deal with any issues that may arise.
